Youth Maker Groups Terms & Conditions:

Youth maker groups who fulfill Handmade Arcade’s application requirements and are juried and accepted into Handmade Arcade will thereafter be known as “Youth Maker Groups.”

Youth Maker Groups agree to these pre-set deliverables set by Handmade Arcade to participate in the Holiday Market (schedule for deliverables will be clearly outlined): 

  • Return their Youth Maker Group Confirmation Form by Friday, September 12, 2025 at 11:59 PM (EST)

  • Participate in one virtual pre-event workshop on October 1 from 4-5:30 PM

  • Develop 3-5 group goals for their program participation, such as specific learning objectives or sales goals

  • Sell their products at the Holiday Market on December 5-6, 2025 according to the schedule listed below

  • Submit final YMA program evaluation survey 

Marketing & Promotions:

  • Youth Maker Group Leads are responsible from collecting their own consent forms from their youth make participants’ parent/guardians to be photographed at virtual and in-person workshops and meetings and at the Holiday Market for publicity and promotion purposes of Handmade Arcade. Youth Maker Group Leads will submit these consent forms to Handmade Arcade at least 10 days prior to the Holiday Market.

  • Youth Maker Groups consent to Handmade Arcade using the images provided in their application, their website, or social media accounts for marketing purposes.  Youth Maker Groups will be tagged when possible.

  • Youth Maker Groups may not sell merchandise containing the words “Handmade Arcade” or “Handmade Arcade: The Cutting Edge of Craft” or depicting Handmade Arcade or Handmade Arcade logos, graphics, slogans, or signage without the express permission of Handmade Arcade’s Executive Director.

  • At least 95% of the work must be made and sold by the youth participants in the Youth Maker Groups. 

  • Handmade Arcade, Handmade Arcade representatives and agents make no guarantees of any sort to Youth Maker Groups, including promises of Youth Maker Group’s profit, sales, business, promotion, or advertisement opportunities.

 

In-Person Market Terms:

  • Youth Maker Groups are expected to sell handmade, hand-crafted products representing the maker’s creations. Mass-produced merchandise is prohibited at all Handmade Arcade events.

  • Load-in is scheduled for Friday, December 5, 2025. We understand that this might be difficult with school and activity schedules. We will work with the Youth Maker Group Lead to find a load-in time that works. 

  • Youth participants in the Youth Maker Group must be present for the entirety of both load-in and the market. Friends and family can be present to help and youth participants may take breaks as needed, but business should be run by youth participants, not Youth Maker Group Lead.

  • Youth Maker Group will be assigned a booth space before the event date. This cannot be changed.

  • Youth Maker Group MUST comply with the parameters of their vendor space, including but not limited to the placement of tables, chairs, racks, signs, shelves, and personnel.

  • Youth Maker Group must remain fully set up in their space until the close of Handmade Arcade on December 6, 2025 at 6:00 PM. Youth Maker Group must remain on-site for the entire duration of the event.

  • Youth Maker Groups are responsible for the cleanup of their space following the event.

  • Music of any sort is prohibited.

  • Helium balloons are prohibited in the David L. Lawrence Convention Center.

  • Customer service matters are the sole responsibility of the Youth Maker Group. Any reports to Handmade Arcade about a negative customer service experience may impact a maker’s chance of participating in future Handmade Arcade events.

  • Youth Maker Group agrees to reflect Handmade Arcade’s core values of anti-racism, collaboration, equity, financial sustainability, and transparency.

  • Handmade Arcade reserves the right to reject any application for any reason whatsoever.

 

Indemnification & Liability:

  • Youth Maker Groups agrees to accept full responsibility for any property damage or bodily injury in any way caused by the youth participants, youth participant family members, employees, or guests during event setup, breakdown, or event hours. Youth Maker Group’s responsibility includes payment of all damages.

  • The Youth Maker Group will indemnify, defend and hold harmless Handmade Arcade, its directors, officers, employees, agents, representatives, successors, assigns from and against all liabilities, expenses, suits, claims, actions, demands, judgments, settlements, costs, losses, fines, and penalties, including but not limited to attorney fees, costs, and expenses of litigation, that arise out of or are related to the aforementioned property damage or bodily injury.

  • Additionally, Handmade Arcade disclaims all liability for any bodily injury or property damage to Youth Maker Group as a result of any negligence, gross negligence, or willful misconduct caused by the David L. Lawrence Convention Center and/or any DLCC employees and/or agents.

  • Handmade Arcade and Handmade Arcade representatives and agents shall not be responsible for or liable to Youth Makers for any loss or damage that may occur to Youth Maker Group or Youth Maker Groups’ property from any source or any cause whatsoever.

  • Youth Maker Groups are solely responsible for collecting and paying their taxes (all applicable city, county, state, and federal sales and other taxes), licenses, and personal and business liabilities.

  • Youth Maker Groups will indemnify, defend, and hold harmless Handmade Arcade from any claim of unpaid taxes.

Force Majeure: 

  • This Agreement and obligations of Handmade Arcade and/or the Youth Maker Group are subject to conditions beyond the reasonable control of Handmade Arcade and/or the Youth Maker Group, such as grave illness, accidents in transportation or otherwise, fire, flood, strikes, riots, acts of God, global pandemics, inclement weather deemed an emergency by official authorities, labor disputes, war emergencies, or other similar circumstances. If the presentation of activities by the Youth Maker Group is prevented for any of the reasons above, force majeure policy will apply. Neither the Youth Maker Group nor Handmade Arcade will be under any obligation to present the activity at a different time, nor to compensate the other for any services or expenses incurred in connection.

Cancellations: 

  • If a Youth Maker has to cancel their participation for any reason other than a force majeure event, they must notify Handmade Arcade’s Executive Director in writing as soon as possible.

I have read and understood the Handmade Arcade Terms and Conditions. I agree that violation of any of these policies, before or during the event, gives Handmade Arcade the right to rescind the Youth Maker Groups’ booth space for the event or remove the Youth Maker during the event without refund of the booth fee or any additional fees. Violations of these policies will be documented, shared with the Youth Maker, and kept on file. Policy violations may prevent an Youth Maker from being accepted into a future market.
