Youth Maker Terms & Conditions

Handmade Arcade’s markets are juried events. Therefore, youth makers who fulfill Handmade Arcade’s application requirements and are juried and accepted into Handmade Arcade will thereafter be known as “Youth Makers.”

 

Accepted Individual Youth Maker Program Deliverables (Not applicable to Youth Maker Groups): 

Youth Makers agree to these pre-set deliverables set by Handmade Arcade to participate in the Holiday Market (schedule for deliverables will be clearly outlined): 

  • Returning signed youth maker agreement and parent/guardian permission form by Friday, September 12, 2025 

  • Participating in four in-person pre-event workshops 

    • Workshop 1 on September 18 from 6 – 7:30 PM

    • Workshop 2 on October 9 from 6 – 7:30 PM

    • Workshop 3 on October 23 from 6 – 7:30 PM

    • Workshop 4 on November 6 from 6 – 7:30 PM

  • Developing 3-5 personal goals for their program participation, such as specific learning objectives or sales goals

  • Attending at least one individual meeting with the YMA program coordinator 

  • Creating an inventory management tracker and production calendar for the Holiday Market 

  • Attending both Mentor Roundtable meetings

    • Mentor Roundtable 1 on September 21 from 4:30 – 5:30 PM

    • Mentor Roundtable 2 on October 26 from 4:30 – 5:30 PM

  • Showing proof of products made in advance of the Holiday Market 

  • Selling at the 2025 Holiday Market, as outlined below

  • Submitting final YMA program evaluation survey 

  • Participating in a 1:1 exit interview with HA staff member 

Accepted Youth Maker Groups Program Deliverables (Not applicable to Individual Youth Makers):

Youth Maker Groups agree to these pre-set deliverables set by Handmade Arcade to participate in the Holiday Market (schedule for deliverables will be clearly outlined): 

  • Returning signed participation agreement by Friday, September 12, 2025 

  • Participating in one virtual pre-event workshop on October 1 from 4-5:30 PM

  • Developing 3-5 group goals for their program participation, such as specific learning objectives or sales goals

  • Selling at the 2025 Holiday Market, as outlined below

  • Submitting final YMA program evaluation survey 

 

Cancellations (Applicable to Individual Youth Makers & Youth Maker Groups): 

  • Youth Makers who cannot participate in the Holiday Market event must notify Handmade Arcade as soon as possible. 

 

Market & Promotions (Applicable to Individual Youth Makers & Youth Maker Groups): 

  • Youth Makers consent to be photographed at the meetings and Holiday Market for publicity and promotion purposes of Handmade Arcade.

  • Youth Makers consent to Handmade Arcade using the images provided in their application, their website, or social media accounts for marketing purposes.  Youth Makers will be tagged when possible.

  • Youth Makers may not sell merchandise containing the words “Handmade Arcade” or “Handmade Arcade: The Cutting Edge of Craft” or depicting Handmade Arcade or Handmade Arcade logos, graphics, slogans, or signage without the express permission of Handmade Arcade’s Executive Director.

  • At least 95% of the work must be made and sold by the Youth Maker. 

  • Handmade Arcade, Handmade Arcade representatives and agents make no guarantees of any sort to Youth Makers, including promises of Youth Maker’s profit, sales, business, promotion, or advertisement opportunities.

 

In-Person Market Terms (Applicable to Individual Youth Makers & Youth Maker Groups): 

  • Youth Makers are expected to sell handmade, hand-crafted products representing the maker’s creations. Mass-produced merchandise is prohibited at all Handmade Arcade events.

  • Load-in is scheduled for Friday, December 5, 2025. We understand that this might be difficult with school and activity schedules. We will work with the Youth Maker to find a load-in time that works. 

  • Youth Maker must be present for the entirety of both load-in and the market. Friends and family can be present to help and Youth Maker may take breaks as needed, but business should be Youth Maker's, not family business. 

  • Youth Makers will be assigned a booth space before the event date. This cannot be changed.

  • Youth Makers MUST comply with the parameters of their vendor space, including but not limited to the placement of tables, chairs, racks, signs, shelves, and personnel.

  • Youth Makers must remain fully set up in their space until the close of Handmade Arcade on December 6, 2025 at 6:00 PM. Youth Makers must remain on-site for the entire duration of the event.

  • Youth Makers are responsible for the cleanup of their space following the event.

  • Music of any sort is prohibited.

  • Helium balloons are prohibited in the David L. Lawrence Convention Center.

  • Customer service matters are the sole responsibility of the Youth Makers. Any reports to Handmade Arcade about a negative customer service experience may impact a maker’s chance of participating in future Handmade Arcade events.

  • Youth Makers agree to reflect Handmade Arcade’s core values of anti-racism, collaboration, equity, financial sustainability, and transparency.

  • Handmade Arcade reserves the right to reject any application for any reason whatsoever.

 

Indemnification & Liability (Applicable to Individual Youth Makers & Youth Maker Groups): 

  • Youth Makers agree to accept full responsibility for any property damage or bodily injury in any way caused by the Youth Maker, Youth Maker family members, employees, or guests during event setup, breakdown, or event hours. Youth Maker responsibility includes payment of all damages.

  • The Youth Maker will indemnify, defend and hold harmless Handmade Arcade, its directors, officers, employees, agents, representatives, successors, assigns from and against all liabilities, expenses, suits, claims, actions, demands, judgments, settlements, costs, losses, fines, and penalties, including but not limited to attorney fees, costs, and expenses of litigation, that arise out of or are related to the aforementioned property damage or bodily injury.

  • Additionally, Handmade Arcade disclaims all liability for any bodily injury or property damage to Youth Makers as a result of any negligence, gross negligence, or willful misconduct caused by the David L. Lawrence Convention Center and/or any DLCC employees and/or agents.

  • Handmade Arcade and Handmade Arcade representatives and agents shall not be responsible for or liable to Youth Makers for any loss or damage that may occur to Youth Makers or Youth Makers’ property from any source or any cause whatsoever.

  • Youth Makers are solely responsible for collecting and paying their taxes (all applicable city, county, state, and federal sales and other taxes), licenses, and personal and business liabilities.

  • Youth Makers will indemnify, defend, and hold harmless Handmade Arcade from any claim of unpaid taxes.

I have read and understood the Handmade Arcade Terms and Conditions. I agree that violation of any of these policies, before or during the event, gives Handmade Arcade the right to rescind the Youth Maker’s booth space for the event or remove the Youth Maker during the event without refund of the booth fee or any additional fees. Violations of these policies will be documented, shared with the Youth Maker, and kept on file. Policy violations may prevent an Youth Maker from being accepted into a future market.
