2024 Holiday Market Volunteer Handbook

Arrival & Check-In:

LOCATION:

  • The Holiday Market will be held at the David L. Lawrence Convention center (DLCC) in Halls B & C.

  • The DLCC is at the corner of Penn Ave. and 10th Street, in downtown Pittsburgh.

  • Directions to the David L. Lawrence Convention Center

  • Handmade Arcade is in Halls B & C of the DLCC on the second floor. To get to the Holiday Market:

    • Enter through the EAST LOBBY Street entrance off Tenth Street.

    • Go up the escalator or use the elevator to your right behind the security desk

    • Once you are on the second floor, Halls B and C will be on your left.

CHECK-IN:

  • When you arrive on the second floor, please bypass the lines and go straight into Halls B and C to the Handmade Arcade Welcome Table.

  • If any volunteers or staff ask, please tell them you are a volunteer who needs to check in.

  • You will check in with Jasmine, our Volunteer Coordinator, at the Welcome Table.

  • Jasmine will give you a quick orientation, and they will give you a volunteer badge and apron to borrow for your shift.

  • If you are assigned to the box office, you will also receive a brief orientation from TJ, our Box Office Coordinator.

There are plenty of parking options near the DLCC. You can use the Park PGH app to get real-time parking information for Pittsburgh garages. Here are some garages near the DLCC:

  • Friday, December 6:

    • 5:00 - 7:30 PM: Friday Night Preview Party

  • Saturday, December 7:

    • 8:30 AM:

      • Vendors must be at booths

      • Early Birdie Shopping check-in begins

    • 9:00 AM - 11:00 AM:

      • Early Birdie Shopping

      • After all Early Birdie Shoppers are in the door, we will close the doors and do a big reveal at 11 AM for all Main Event (free ticket) shoppers.

    • 11:00 AM - 4:30 PM:

      • Main Event (free tickets) shopping

    • 4:30 - 6:00 PM:

      • Sensory-Friendly Shopping

      • All are welcome to attend, but this will be more quiet and relaxed. The DJ will stop playing at 4:30 PM and only light interactions will be encouraged between makers and shoppers.

  • For last-minute emergencies the night before or day of or if you are unable to make it to your shift, please do not email. Please text the Handmade Arcade cell phone number (412-204-6279).

  • Please do not call because the DLCC is very loud, and we won’t be able to hear our phones.

Volunteer Schedule & Roles:

SCHEDULE:

You can view the volunteer schedule for Friday, December 6 and Saturday, December 7. While we tried to keep folks in the roles they signed up for, we did have to move some people around to make sure we had coverage.

VOLUNTEER ROLES:

You will receive more detailed instructions on your role when you arrive, but here is a brief overview of the various volunteer roles.

  • Box Office:

    • Direct attendees to the correct line depending on whether or not they already have tickets.

    • Check-in attendees who already tickets by scanning their tickets, checking their printed tickets, or check their tickets on their phones.

    • For attendees who don’t have tickets, direct them in registering on their phones by scanning a QR code or register them by collecting their name and email.

    • Assist TJ, the Box Office Manager, as needed.

  • Door Greeter:

    • Welcome attendees to the event and distribute one program book or map per group. You may give groups multiples, but our quantities are limited.

    • Encourage attendees to scan the QR code on our welcome sign to view our digital program book.

  • Welcome Table:

    • Welcome attendees to the event and answer simple questions, such as helping with wayfinding.

    • Sell raffle tickets by cash and credit cards.

    • Monitor Handmade Arcade’s donation jar.

    • Collect names and emails for our email list.

  • Raffle Tables:

    • Sell raffle tickets via cash and credit card.

    • Monitor items on display for raffle.

    • If volunteering Friday night, direct attendees to the Friday-only raffle basket in the lobby. This raffle is exclusive to Friday night and will be announced at 7 PM for the winner to take home.

    • Friday night attendees can also purchase tickets for the regular raffle inside Halls B & C.

  • Floater & Vendor Assistance:

    • We ask vendors ahead of time if they are going to be alone on Saturday so we can watch their booths for a bit while they take short breaks. We will let you know which makers to check-in on throughout your shift.

    • If you are watching a vendor’s table, establish with them how they plan to be gone. You should not be required to watch a table longer than 30 minutes or past your shift time.

    • You are not permitted to sell on behalf of the maker. You will only watch their table and let shoppers know that the vendor will return shortly.

Booth Map & Key

Food & Breaks:

  • Concessions will be open during the Friday Night Preview Party from 5:00 - 7:30 PM.

  • Concessions will be open on Saturday from 7:00 AM - 6:00 PM.

  • Breakfast items, lunch, beverages, and snacks will be available for purchase.

  • During busy times, the line can get long. Please plan your meals accordingly.

  • Our Volunteer Break Room is right outside of the main doors and labeled “Staff and Volunteers” only. It is stocked with bottles of water and snacks.

Restrooms & Water Fountains:

  • Restrooms are located outside the hall in the lobby and in the back of Halls B & C near concessions.

  • There is a water fountain against the back wall.

Accessibility:

  • If you have accessibility needs, please let the Volunteer Coordinator or any Handmade Arcade staff know so we can best support you.

  • The Convention Center floor is concrete and can be unforgiving. Please wear comfortable shoes.

  • The temperature in the halls can fluctuate, so we recommend wearing layers.

Security Plan:

  • Volunteers will have a high-level safety plan on the back of your lanyards.

Check-Out:

  • Please make sure you check-out with Jasmine, our Volunteer Coordinator, at the end of your shift to turn in your lanyard and apron.

  • When you check-out, Jasmine will also give you your complimentary raffle tickets. We appreciate you volunteering!
